Refund Policy

This page explains what you pay for, what comes back if you change your mind, and what happens to your recordings if you stop. It is written for Digital WatchMan and works together with the Privacy Policy, the Terms of Service and the Customer Onboarding Terms on this site.

The short version. A subscription runs for at least one quarter. A 7-day trial is available on request, and you have to ask for it before you pay for the first time. If you asked for it and you cancel inside those 7 days, we return the rest of what you paid, after taking out only two expenses: the Razorpay fee on your payment, and the compute cost for the days the service actually ran.

If you did not ask for the trial, a subscription is not refundable once it starts. The period you paid for is yours to the last day, and stopping does not delete anything that day. Section 6 says what we keep and for how long.

 

1. How subscriptions are billed

A Digital WatchMan subscription is bought for a fixed period, paid at the start of that period. The periods are:

  1. Quarterly — three months. This is the shortest subscription we sell.
  2. 6-monthly — six months.
  3. 12-monthly — one year.

There is no monthly plan. Monitoring a camera means we run detection on its stream every second of every day, so the cost is committed in advance rather than month by month. A longer period costs less per camera.

Your plan does not renew by itself unless you have asked for auto-renewal. We tell you before a period ends.

2. The 7-day trial, on request

The trial is not automatic. You have to ask for it, and you have to ask before your first payment. Once a payment has gone through we cannot add a trial to it afterwards. Write to support@stomatobot.com before you subscribe and we will set it up on your account.

We ask for it in that order for a simple reason: a trial you can claim at the moment you want to leave is not a trial, it is a refund on demand, and we would have to price every subscription as though everyone  might take one. Asking first keeps the subscription price lower for the people who do not.

If you asked and we confirmed it, your trial is the first 7 days, starting on the day your first payment goes through, whichever period you bought.

One trial per customer, once. The trial is for people trying Digital WatchMan for the first time. It does not come back when you renew, when you move to a longer plan, or when you add cameras later. It is tied to your verified mobile number, not to the account — closing an account and opening a new one does not start a fresh trial.

If Digital WatchMan does not suit your premises and you cancel inside those 7 days, we refund the rest of the period you paid for, after deducting our expenses. Section 3 sets out exactly what “expenses” means, because a promise with a vague word inside it is not a promise.

Cancel from your account or write to us. The date that counts is the date you tell us, not the date we get to the mail.

3. What “expenses” means

Exactly two things, and nothing else:

  1. The payment-gateway fee. The fee Razorpay charged us on your payment. That money never reached us, and Razorpay does not give it back when we refund you. We deduct what was actually  charged on your transaction, not an estimate.
  2. Compute for the days the service ran. Your cameras were watched on real servers for those days. We deduct the cost of those days only, worked out pro-rata from what you paid.

There is no handling charge, no cancellation fee, no admin fee, and no deduction for support time. When we send the refund we show you the arithmetic: what you paid, the two deductions, and the amount  coming back.

4. Cancelling without a trial, or after one

If you did not request a trial, or your 7 days have passed, the period you have paid for is yours. You can cancel at any time. The service keeps running to the last day of that period, and we do not charge you again after it. No money is returned for a period already running.

Fees for a period already running are not refundable, because the servers for it are already committed. If you are unhappy with the service, write to us before you cancel. We would rather fix it.

5. Evidence history and what it costs

Every camera gets 90 days of evidence history free. Alerts, snapshots and clips from the last 90 days stay available to you at no extra charge, on every plan.

If you need to go further back, history can be extended per camera. You buy it for the same period as your subscription. Prices are per camera:

Paying for a longer period costs less over a year.

Extra history is an add-on, not a product on its own. It needs a live Digital WatchMan subscription on that camera. If the subscription stops, the extra history stops with it — you cannot keep one without the other, and you cannot buy history for a camera you are not already subscribed for.

Extra history is not refundable by itself. Inside a requested 7-day trial it comes back with everything else (section 2). After that, it runs to the end of the period you bought and there is no refund for the part you do not use — the same rule as the rest of your subscription. If you buy a year of history and cancel in the seventh month, your history stays available until the year is up, and no money comes back.

Adding or changing things mid-period. You do not have to wait for your renewal. Add a camera, or move a camera to a longer history tier, and we charge you pro-rata for the days left in your current period — not a full period. Everything then renews together on your existing date, so you keep one bill and one renewal rather than a scatter of them.

6. If your subscription stops: a pause is not a closure

Nothing is deleted the day a subscription lapses. The service pauses. Your account stays.

  1. Evidence media — snapshots and clips — is kept for 90 days from the pause, then deleted.
  2. Named face identities, and the names you gave them, are kept indefinitely. If you come back a year later, the system still knows the people you taught it. You do not start again from nothing.
  3. You can curate any named identity yourself at any time — remove individual photos, re-file them, merge duplicates — and delete an unnamed face outright. A named identity is kept for 90 days after you close your account, in case you come back; after that we erase it on your explicit request by email to our Grievance Officer.

Resuming a paused subscription restores the service. This is the same rule as section 6 of the Privacy Policy; if the two ever read differently, the Privacy Policy is the one we follow.

7. Deleting your account is a different thing

A refund is about money. Deleting your account is about data. They are separate, and asking for one does not do the other.

To close your account, go to Settings > Profile and request deletion. The request takes effect after 7 days, and you can cancel it at any point inside that window. We keep the window on purpose, so that a tap on a phone cannot wipe your evidence.

After it takes effect we erase your footage, evidence media and unnamed face data. Named identities are kept for 90 days, so that coming back does not mean teaching the system everyone again. After that we erase them on your explicit request by email to our Grievance Officer; the work is done by hand, beginning within a week of your request. We keep only the billing records that company law requires us to keep. We never keep footage after closure.

If you requested a trial and you are still inside those 7 days and you also want your money back, ask for the refund as well. Deleting the account on its own does not produce one, and closing an account does not create a trial you did not ask for.

8. Duplicate charges and outages

  1. Duplicate or failed-but-charged payments: refunded in full to the original payment method within 5–7 business days of verification.
  2. Extended outages caused by us: if our service (not your cameras, power, or internet) is unavailable for more than 24 continuous hours, we add those days to the end of your current period, so you get the time back straight away. We used to credit the next renewal, which was fine when billing was monthly — with a quarter as the minimum and a year as an option, a credit could sit unused for months.

9. GST

StomatoBot Technologies Private Limited does not have a GSTIN. No GST is added to your payment, so there is no GST component to refund. The amount you paid is the amount we work from. If this ever changes we will update this page and tell you before it affects you.

10. How refunds are paid, and how long they take

Refunds go back to the payment method you paid with, through Razorpay. We cannot send them anywhere else.

Once we approve a refund we instruct Razorpay the same day. After that, the gateway and your bank usually take 5 to 7 working days, and sometimes longer if your bank is slow or a holiday falls in between. We will give you the refund reference number so you can check with your bank. We cannot make a bank move faster, and we will not pretend otherwise.

11. What refunds don’t cover

Issues caused by customer-side equipment or connectivity (cameras, DVR, power, ISP), misconfiguration contrary to our guidance, or violations of the Terms of Service. The Customer Onboarding Terms explain what your premises equipment has to do for the service to work.

12. How to ask

Email support(at)stomatobot(dot)com from your registered email, with your registered mobile number and the payment reference. We acknowledge within 2 business days and tell you the amount before we send it.
